About the Event AV and ICT Team
The Event AV and ICT Team is responsible for supporting the event side of the business. Event support is the provision and support to clients for AV and ICT related equipment and services such as wired and wireless networks, screens, laptops and tablets as well as providing the backbone network for many audio-visual services and all Audio-Visual services offered by the centre.
Job Purpose
The Event ICT Logistics Technician will work alongside the Senior AV/IT Logistics Manager to ensure that delivery of Event ICT services and equipment for events are delivered in line with client expectations.
Throughout this position you will have the unique opportunity to work with high profile clients from a variety of industries to facilitate their event objectives in collaboration with multiple specialist departments within the centre.
Key Tasks
- Learn and understand the QEII centre’s ICT infrastructure and topology, which includes but is not exclusive to the following: FortiGate firewall, Aruba central (switch management and Wi-Fi system), patch bay and port locations
- To be the first point of call for all client event ICT requirements, liaising with Audio Visual Project Management prior to the event to ensure an understanding of what is required.
- To be the first point of call for all exhibitor ICT requirements, managing email and telephone correspondence to ensure exhibitors queries and concerns are handled clearly and promptly.
- Manage online exhibitor orders through the QEII Centre website, ensuring accurate entry into an exhibition spec for use by AV techs and event management.
- Create and maintain accurate job sheets to allow the implementation of all client event IT requirements on time and in the right locations, including adding any necessary rigging information on the AV spec.
- Utilise the department’s IT whiteboard system to ensure the logistical management of all event IT requirements.
- Work collaboratively across all departments to ensure a smooth client/exhibitor journey.
- Manage an accurate IT kit list and monitor stock levels, ensuring that products are available as required for clients and exhibitors.
- Troubleshoot event IT issues where necessary and be on hand to address any event IT-related technical questions.
- Assist the Senior AV/IT Logistics Manager in delivering ICT equipment and services to clients including rigging and de-rigging before and after events.
- Assist the Senior AV/IT Logistics Manager in supporting client and exhibitor ICT queries throughout the event.
- Liaise with 3rd party vendors to ensure that non-stocked equipment is ordered in a timely manner when required for events.
- Maintain accurate website sales figures to feedback to the Head of AV and Event IT and to assist the finance team in client/exhibitor billing.
- Work with the Head of AV and Event IT to maintain the website product page and adapt the service where necessary to address customer needs.
- Assist the Head of AV and Event IT with any work-related requests.
- Assist all other members of the Event AV and ICT Team if needed

- To ensure that you maintain continual professional development, keeping up to date with the required technology relevant to the post and wider industry, highlighting and undertaking any areas of training and development that may be required
The above is not exhaustive and other duties not outlined may form part of the employees’ job description. Shift work is required to cover events, the ICT team usually cover the hours between 7am to 9pm Monday to Friday but occasionally support may fall outside of these hours. Weekends are available but are optional.

Experience

Technical
Comprehensive training will be given for this role, but a basic working knowledge of the following would be beneficial:
