Purpose of the role
The Event Management team are pivotal in project managing & organising all aspects of event planning & execution at our venue, we are seeking a detail-oriented, proactive Event Manager to join our expanding team. The ideal candidate will have strong organisational skills, excellent communication abilities, and a passion for creating memorable experiences for clients and guests whilst maintaining flawless execution throughout.
The Event Manager’s role is diverse and carries a range of responsibilities that affect ExceL London’s operations and commercial success. As an Event Manager you will drive the success, customer satisfaction and ultimately the retention of events held at ExceL London.
Event Management
The venue operations function is responsible for the effective planning & delivery of all our client’s events, ranging from Exhibitions & Conferences, to Exams & Immerse LDN experiential events. Our team is passionate about creating unforgettable events for our clients and their guests.
Key responsibilities
- Event Planning & Delivery
- Coordinate all aspects of event planning & execution, including scheduling, logistical requirements, and documentation
- Conduct site visits and consultations with clients to understand their event requirements and preferences and translate those into actionable items to be addressed
- Collaborate with all other internal functions, such as commercial, food & beverage teams, cleaning & waste management teams, traffic & car parks teams, H&S team etc to ensure seamless execution of events
- Oversee event setup, live periods, and breakdown, ensuring all relevant equipment is in place, appropriate venue space inspections are carried out and any required remedial measures are taken in a timely manner
- Resolve any issues or concerns that arise during events, providing exceptional customer service to clients and guests
- Maintain accurate records of all event details within Momentus, including daily attendance figures, variable event costs, and client feedback
- Ensure company procedures and OH&S legislation are maintained throughout
- Create, communicate, and distribute key event documentation to other internal departments using Momentus software
- Complete effective, documented Event Debriefs, follow up on all post event feedback efficiently by converting & tracking completion of items to be addressed
- Stay informed about industry trends and best practices to continually improve the Event Management proposition
- Client Relationship Management
- Serve as the primary point of contact for clients working in collaboration with their commercial Account Manager, ensuring their needs and expectations are met and exceeded
- Set, communicate, and maintain timelines and priorities on every project ensuring maximum customer satisfaction for all parties
- Be the conduit for all internal departments, providing event briefing information, client feedback and clear requirements for the delivery of each event and ensuring alignment internally when liaising with the client
- Evaluate performance of service providers, ensuring constructive feedback is provided as necessary to elevate our service proposition
- Maintain excellent communications with other event managers, sharing knowledge and experiences to ensure delivery proposition is continuously improved
- Financial Management
- Manage variable event costs & recharges, with timely forecasting, raising of detailed PO’s, ensuring profitability and cost-effectiveness
- Maximise potential for ancillary revenues, which directly impact the financial performance of the business
- Responsible for the financial closure of an event – reconciling service orders directly after the event and providing the finance department with the means to raise final client invoices
- Team Collaboration
- Supporting other team members on events as required, allowing for growth and development opportunities
- Active participation in department meetings and always proactively considering improvements to our service delivery so client expectations are not only met but exceeded
- Willingness to assist other departments / involvement with venue developments & projects
- Reporting
- Production of key event documentation: pre- and post-show reports, effective, comprehensive debriefs, financial reports, and further management reporting as required
Core competencies
- Communication – Excellent written and verbal communication skillset, with strong interpersonal skills to liaise with clients, team members and contractors effectively
- Organisation – Ability to manage multiple tasks, timelines, and details simultaneously whilst remaining responsive & proactive
- Problem Solving – Quick thinking and adaptability to identify and resolve issues during events moreover actively seeking to eliminate issues before they arise
- Attention to Detail – Ensuring all aspects of the event from setup to execution meet high standards
- Leadership – Ability to lead and motivate event staff, contractors, venue partners etc throughout the event cycle
- Relationship Management – Effectively build and maintain positive working relationships with your clients and their suppliers
- Knowledge of Regulations – Understanding of and compliance to, all key venue, client and legal regulations relating to your events including any applicable permits or licenses
- Calm under pressure - Maintaining composure and making decisions efficiently in high stress situations or during busy periods
- Flexibility - An essential requirement for this role is that all Event Management staff remain flexible with their hours of work and to be on site during key event periods as required
Experience
- Proven experience in event planning and management, preferably in a venue setting
- Proficiency in event management software and Microsoft Office Suite
- Knowledge of food and beverage operations, audiovisual equipment, and event production are an additional advantage
Qualifications
- Qualifications within Event Management / Events related field are an advantage
